EARTH Participant Changes

NSF ERC EARTH uses a standardized Center-wide process to manage new participants, changes in participation, and departures across the consortium. This process ensures participant information, required onboarding, Center systems, communications, and records remain accurate and current. 

When to Submit a Participant Change

The EARTH Participation Change Survey should be submitted when:

  • A new faculty member, staff member, postdoctoral researcher, graduate student, undergraduate student, or other participant joins EARTH. 
  • A current participant's role, funding, effort, research affiliation, or other participation information changes. 

For new participants, the form should be submitted as early as possible before the individual's anticipated start date so the onboarding process can begin.

Please complete the Participant Departure form when someone is no longer an active EARTH participant.

Information Needed for New Participants

The faculty or staff member submitting the form should have the following information available:

  • Participant name 
  • Institution 
  • Institutional email address 
  • PI, faculty advisor, or supervisor 
  • Primary role 
  • Expected start date 
  • Estimated end date, when applicable 
  • Funding source 
  • Percent effort devoted to EARTH 
  • EARTH focus area(s) 
  • For Convergent Research participants, applicable Research Thrust(s), Crosscut(s), and project affiliation(s) 

Funding source and percent effort are required. Percent effort represents the portion of the participant's overall work time devoted to EARTH. If a participant contributes to multiple EARTH projects, report their total effort across EARTH rather than assigning separate percentages to individual projects. 

What Happens After Submission

EARTH Administration reviews the submitted information and initiates the appropriate onboarding or participant-change process. For new participants, this includes the EARTH welcome and onboarding process, required orientation and forms, applicable training, Center communications and systems, participant tracking, and website updates. 

New participants are responsible for completing all required Center onboarding activities. 

Submission of the Participation Change Survey does not by itself establish active EARTH participation. All required onboarding MUST be completed before an individual is considered an active EARTH participant.
